Executive Assistant – Fast Expanding MNC

A highly reputable and globally-exposed company is seeking multiple talented and dedicated Executive Assistants to support their driven founders. The ideal candidates will be highly flexible, presentable, and willing to work extra hours as a Personal Assistant (PA). Immediate availability is strongly preferred.

Key Responsibilities:

  • Provide comprehensive administrative and secretarial support to the assigned founder
  • Manage complex calendar scheduling, appointment setting, and travel arrangements
  • Handle phone calls, emails, and correspondence on behalf of the founder, prioritizing and responding promptly
  • Prepare and edit various documents, including reports, presentations, and correspondence
  • Coordinate with internal teams and external stakeholders to ensure smooth communication and collaboration
  • Organize and maintain filing systems, ensuring easy retrieval of information
  • Assist in preparing expense reports and managing reimbursements
  • Provide language support as needed, depending on the founder’s requirements
  • Handle ad-hoc tasks and projects as assigned, demonstrating flexibility and adaptability
  • Work extra hours as required to support the founder’s busy schedule and ensure their success

Requirements:

  • Bachelor’s degree or higher, preferably in business administration, communications, or a related field
  • Minimum of 3 years of experience as an Executive Assistant or Personal Assistant, supporting C-level executives
  • Exceptional verbal and written communication skills in English and Chinese (Cantonese and/or Mandarin)
  • Strong organizational and time management skills, with the ability to multitask and prioritize effectively in a fast-paced environment
  • Detail-oriented and able to work independently with minimal supervision
  • Proficient in Microsoft Office (Word, Excel, PowerPoint) and Chinese input methods
  • Highly presentable and professional demeanor
  • Willing to work extra hours and be highly flexible to support the founder’s needs
  • Discretion and confidentiality in handling sensitive information
  • Immediate availability strongly preferred
